How To Use Subgroups
You can easily decide how your subgroups should be viewed and accessed by different users. This depends on your specific needs. These are just some of the ways that you can use subgroups:
Differentiate Language Desks
Differentiate Functions such as retentions and sales
Differentiate between Campaigns
Creating a Subgroup
What are subgroup auto assignment rules?
The Backpack CRM will execute lead allocation to specific subgroups upon registration using pre set criterion. The rules are set within the subgroup creation tool. Currently three auto subgroup assignment rules can be set which are, location, language and affiliate token. Each rule can be set with multi criterion. A default subgroup can be created for auto allocation of leads which have not met the pre set rules.
Scope of use
Subgroup auto assignment rules are used to target specific leads automatically to a subgroup. This optimizes the lead management process by sorting and allocating the leads using pre set criterion. Practical examples include desks or people that relate to leads with specific languages or from specific regions. Leads from specific affiliates may also be targeted. The all leads report can be filtered using the subgroups.
The Process
Create Subgroups
Firstly to set up the subgroups, access the “tools” icon and click on subgroups.
Type the name of the Subgroup in the space provided.
In order to enable or disable the group you can click on the Yes/NO next to it.
Choose the rule criterion for location
Choose the rule criterion for language and select the affiliate token if needed.
If you need to change the subgroup you can either choose “reset” or “delete” or if you would like to continue and add the subgroup then you can click “submit”
You can make the subgroup the default by clicking “set default subgroup” and you can remove the subgroup default setting by clicking “clear default subgroup”.
Add subgroups to user's permissions
To allow a back office user to only see leads from a subgroup, you will need to add it to the users filters in his back office permissions. You will need to access this through the “tools” icon and then click on “users”. Select the user and then the subgroup and click “submit”
When a lead registers on the platform the back office user will see the lead automatically assigned to this subgroup with the permission to access the “all leads” report or will see leads from this subgroup in their “my Leads” report once the lead has been assigned to them.
** Please note that you may need to add permissions in order to use or view specific reports. Please see the list of supported reports below.
**When you create a user you can use the predefined user type - Desk-Manager - which will have access to the reports used for sub groups and then through permissions you can regulate the report use.

Linking Leads to Sub Groups
You can link leads to specific sub groups in various ways.
Assigning Leads
Leads can be assigned directly from the "All Leads" report by right clicking your mouse and selecting "Subgroup"
Bulk Registration
The column "O" on the bulk registrations .csv file is used to assign leads to sub groups. It is very important to note that the sub group needs to be added to the .csv file exactly as it appears in the CRM including case sensitivity.
Landing Page Parameter
Subgroups can be assigned automatically through specific campaigns or landing pages by implementing the parameter: sgid = "Subgroup" . It is very important to note that the sub group needs to be added exactly as it appears in the CRM including case sensitivity.
Please Note : When changing the language from the CRM it will have no effect on the subgroup. If you would also like to update the subgroup when you change the language of the client you will need to change the subgroup manually.
