In order to upload a bulk list of leads to the back office to be converted, you must first have back office permission for this feature as well as the example .csv from Backpack.


 


Requirements

The following columns are required to be filled out in order to upload to the back office:
 

  • Email 

  • First name 

  • Last name 

  • Country – user http://en.wikipedia.org/wiki/ISO_3166-1_alpha-2 for country
    code. Please note country code must be in lower case letters in order to be
    uploaded. For example, for France the country will be fr. 

  • Phone 

  • Locale (for example, en_FR)

  •  **Subgroup  (column o)

  • Currency parameter
    - We have added new column to the bulk upload csv file called currency
    - This is in order to support multi-currency with bulk upload
    - The values of the currency must be in small letters for example:
    # usd
    # eur
    # gbp
    - This is a mandatory field in order to prevent future mistakes
    # An empty field will not be uploaded
    # If a currency that is not supported is uploaded then the upload will be rejected

  • Once you have added all of these values, you will receive error message for these values upon uploading to the back office [line 0] Email: email is invalid.

  • The rest of the details such as national ID, birthday, address, city, zip code, state, affiliate token and notes should be filled in if possible, however it is not mandatory. Please note that if the affiliate token is incorrect it cannot be changed so please double check this information before uploading the file
     

  • Adding notes for your leads: *Do not include any commas (,) in the notes column or the upload will fail.

  • The notes column can be used to upload any information you have on each of your leads. You can include the type of traffic the lead came from, an additional phone number, language spoken or any other details you find relevant. 



** The name of the subgroup needs to be recorded exactly as it appears on the CRM and is case sensitive. Failure to do this will mean that the lead will not be assigned to the correct subgroup.
 

 





How to Upload

Once you have the .csv ready, you can import them through the bulk registration feature in the tools icon in the back office.
1. Go to tools / Bulk registration
2. Select the .csv file on your computer
3. Press Upload
 

Where are these leads shown?

You will see the uploaded users in the "All Leads" report. Each uploaded user will have # instead of @ in the email column, until they are converted by the sales team. For example, you will see an uploaded lead as demo#backpack.com. You can filter this report to find all of the imported leads by searching for # in the email column. 

For Non English Languages

About the uploading in Russian/Arabic, Please follow according to the steps below and then you will be able to save the csv file in other languages as well:1)      Once Excel is ready save it as “Unicode Text (*txt.)”2)      Open the save file via “Edit with Notepad ++”

  • Highlight space between Email and Name title fields, then click on “replace”.

  • Replace with “,” and click on Replace All

  • Replace “&” in all file with “and”

  • Delete spaces after email address (exp. “emat@bb.com_”  >> “emat@bb.com”)

  • Delete comma in comments

  • Click on “Encoding”

  • Select “Encode in UTF-8”

  • Save as: file name + “.csv” and type “normal text file (*txt.)

3)      Go to CRM / Tools / Upload Bulk Leads 



How can I convert these leads?

All uploaded users will not be considered real users until they are converted with the "convert lead" button. Once you assign these users, each sales person should click "convert lead" once the user is interested. Each sales person that will be using this feature will need permission in the back office for this.

After clicking on "convert lead," you will see the users email changes from # to @. For example, demo#backpack.com will change to demo@backpack.com. After you convert the lead, this uploaded user will be shown as all other users in the back office.

Common error messages

If you encounter an error uploading the .csv file to the back office, a detailed error message will appear. Each message describes a specific error in the .csv file. Please see the error messages below and the meaning of each message:

 

 

Errors

User exists - A user with this email already exists in your leads.
Mandatory field - One of the mandatory columns was not filled in.
Email is invalid - There is an error with the email address
Number of fields is incorrect - There are too many columns in the row. This error can also occur if you place any commas in any fields (,)
